Step 1: Before the Switch (Your 2–4 Week Checklist)

The key to a smooth transition is preparation. Starting 2–4 weeks before your intended switch date gives everyone time to adjust. Your first conversation should be with your current plan manager. Confirm their final processing cut-off date for the month or quarter. Ask for a statement of all outstanding invoices and ensure you understand how they will handle any end-of-period payments that come in after you've left.

Next, contact your support providers. This is crucial. You must inform them of the upcoming change in who pays their invoices. Give them the exact start date for the new arrangement and provide the new payer's details (like the new plan manager's name and invoice email address). Ask if they will back-date services delivered during the transition if invoicing is delayed.

Finally, confirm setup timelines with your new plan manager (if you're moving to plan management) or with the NDIA (if moving to agency management). Ask how long it takes for them to be ready to receive and pay invoices once you sign up. Get clear instructions on where providers should send invoices and what information needs to be included.
