Spot the Fee Types: NDIS-funded vs provider/admin fees

When you have plan-managed support, it helps to separate what the NDIS pays from what a provider (or their admin team) may charge for managing, processing, or administering your supports. Some fees are covered by the NDIS as part of your service costs, while others are “on top” charges related to how the provider runs the business.

As a quick check, look at the price breakdown on invoices and receipts. NDIS-funded items usually line up with the support you agreed to (for example, therapy hours, group sessions, nursing tasks, or consumables where relevant). Admin or provider fees may cover things like plan management admin, scheduling, report writing, travel admin, or processing claims. These can still be legitimate, but they should be clearly described, explained up front, and charged consistently with your service agreement.

If you’re unsure, compare what you’ve been charged against what other providers offer. My Care Finders can help you think through common fee structures and whether quotes look reasonable. You can also use tools in MyMoney NDIS (www.planmanager.net.au) to track plan-managed payments and understand what’s being spent from your plan.

Key takeaway: If a fee isn’t clearly linked to a specific support item, ask for the written breakdown—legitimate admin fees should be transparent, not hidden in “mystery” charges.

Watch for red flags: fees added without consent, vague labels like “administration” with no detail, sudden increases mid-plan without notice, or charges that repeat even when no service was delivered. When you spot something unusual, ask the provider to explain the fee type in plain language and provide a copy of how they calculate it. Then, compare options using My Care Finders so you can make confident choices for your plan-managed supports.
