Plan-Managed Claims & Approvals: A No-Surprises Checklist
Know what to ask for, what to submit, and how to avoid delays

What happens in a plan-managed claims cycle (plain-English)
In plan management, you usually approve the service you want, and then your plan manager pays the provider from your NDIS funding. A typical claims cycle starts when you receive services (or attend appointments) and the provider records what was delivered. You may be asked to sign timesheets/receipts or confirm the service has happened. If anything doesn’t look right, raise it early—before the claim is processed.
Next, the provider submits a claim to your plan manager. Your plan manager checks the claim against the details of your plan (including the right funding category and the service dates). They may contact the provider for missing information, corrected invoices, or clarification about supports delivered. This is where plan-managed services often feel “quicker but still checked”—your plan manager acts like a quality and compliance filter for the payment request.
You can also track progress in MyMoney NDIS (www.planmanager.net.au), which is commonly used to view available funding, transactions, and payment status. Some plan managers show claim outcomes by status (submitted, in review, paid, or rejected). If a claim is rejected or adjusted, you and/or the provider will be notified so you can fix the issue and resubmit.
Key takeaway: “You don’t pay the provider upfront (usually), but you do need to confirm the service happened and that details match the claim.”
Before you agree to services, it helps to compare providers on price, how they handle documents, and how quickly they submit claims. My Care Finders can be a useful resource to help you compare providers and understand what good claim practices look like—so fewer claims get delayed or rejected.
