The Roles & Where Things Go Wrong

When you're plan-managed, three key players work together to get your supports paid for. Understanding who does what is the first step to avoiding payment delays.

Your Role (The Participant): You approve services, keep records, and communicate any changes to your provider and plan manager. You are the link between them.

Your Provider's Role: They deliver your supports and then submit a claim (an invoice) to your plan manager. They must ensure their claim includes the correct NDIS support item numbers, dates, and your details.

Your Plan Manager's Role: They check the claim against your NDIS plan budget, ensure it complies with NDIS rules, and pay the provider from your NDIS funds.

Breakdowns most often happen when information is missing or mismatched. A common scenario is a provider sending an invoice to the plan manager, but the plan manager can't process it because you haven't approved that specific support, or the dates don't match your service agreement. This creates a frustrating loop of emails and delays.
