Budget Dates & Spend Windows (Plan-Managed, Plain English)
Know when you can spend, what to claim, and how to avoid surprises
Quick glossary: spend windows, dates, claims, and evidence
Quick glossary: spend windows, dates, claims, and evidence
Spend windows are the periods in your plan when you can use your funding. Your plan manager (like MyMoney NDIS, where applicable) and your provider may talk about “this quarter” or “this spend period”. Always check your plan documents or the letters from your plan manager so you know what money you can use and when.
Dates matter because supports must be delivered and recorded in the right timeframe. For example, if a service is provided in one period but the invoice is dated for another, you might miss out on being able to claim it. If you’re unsure, ask your provider: “What date will you use for the service, and what date will you invoice?” This is also where My Care Finders can help, because we can point you to good questions to ask when comparing providers.
Claims are the steps a provider takes to request payment for the supports you used. With plan management, providers usually submit claims to your plan manager, and then your plan manager checks the claim against your plan. Evidence is the proof required to support the claim—think attendance records, service notes, invoices, receipts, participant signatures or confirmations, and progress notes (depending on the support type).
Key takeaway: Keep track of when your support happened, and make sure your provider can supply the right evidence with the correct dates—this reduces delays and claim issues.
- Ask for written confirmation of service dates and claim processes before you start.
- Save any receipts and documents, and request a copy of service statements where possible.
- If a claim is delayed, contact your provider first, then your plan manager (and use My Care Finders to compare provider processes).
- For plan-managed supports, use MyMoney NDIS as your reference point for how claims and spending are handled.
